Before the pmp® certification exam you have to be aware on how to close a project. There are many different questions on the pmp® exam that refer to this particular subject. Here goes the quick recap on how to properly follow the procedure of closing a project.

The process of closing the project requires using the project closure part of the project management plan. In project with more than one phase the close project process closes only one phase at a time together with all connected with that phase activities. All activities which were completed throughout the project management process group are finalized in order to close the whole project or its phase. What is more every completed or even cancelled project are transferred as needed.

There are also different procedures settled in order to coordinate all necessary activities crucial in checking and preparing proper documentation for project deliverables. These procedures contribute also to coordination and interaction which serves formalizing acceptance of those deliverables both by the clients and sponsors. In order to perform the closure actions (no matter if it is the closure of one phase of the project or the project as such) there are two procedures.

First of all is administrative closure procedure. Here it is possible to find out many details concerning: activities, interactions, responsibilities of the project?s team and responsibilities of the stakeholders who take part in performing administrative closure procedure of the project. Integrated activities are included in the performance of the closing activity. Those activities are crucial in collecting project records as well as in analyzing the success which the project has achieved or its failure and also gathering information and placing it in the archive (for future use). The second process is a contract closure process.

All activities and interactions which are necessary to settle and close every contract agreement( all agreement which took part in the project) are compiled while performing this procedure. What is more all activities which support formal administrative closure of the project are also done during this process. Here we have to also remember that product is scrupulously verified (all the work has been done and finished at a satisfactory level) and administrative closure is taking place (the contract records are updated in order to show the final results and placing the data in the archives for future use).

Ion the contract there can be included all terms concerning both project details and contract closure details. There is only one unusual case of closing procedures when there is an early termination of the contract. Here we can meet some difficulties like: the product cannot be delivered, the budget limits could be overrun or there could be not enough of needed resources. Mentioned procedure is an input while performing the Close Contract process. There are six inputs worth mentioning while talking about closing the project.

First one is Project management plan, second is contract documentation. In the latter documentation is used as an input in order to perform the process of contract closure (including the contract itself). There are also enterprise environmental factors, organizational process assets, work performance information and deliverables. There are of course also important outputs namely: administrative closure procedure, contract closure procedure, final product, service or result and organizational process assets(updates).
